This article answers the most common questions about how to do various tasks within the Web Site. Thanks to Andrew Kerr for the questions and to Goalline support for the answers.


Helpful Hints for Working with the Goalline Web Site
 
HOW TO...SEND EMAIL ANNOUNCEMENTS
 
  • Click "Send Email Announcement"
  • Enter a title
  • The title field will be the subject line of your email.
  • Enter the body of the email In the description box
  • If you are copying and pasting from another document or program you should first paste the text in "notepad" on your computer to remove any hidden code before pasting the text into the email description box. If you do not do this your email may have strange coding in it when sent that is not recognizable to your recipient list.
  • Click the boxes that include the desired recipients. For example you can check both the player and parent check boxes then choose which leagues or teams you would like to send them to. Please note that if you select to email "All (Assigned if Players/Parents)" it will only email players assigned to a team. If you want to email all players or parents in the database I generally suggesting check both All (Assigned if Players/Parents) and Unassigned (Players/Parents only).
  • Click save to send the email announcement
  • When you send the email announcement a list of players or selected persons that do not have email addresses will be displayed.
  • There is an email filter so if the same email address is used more than once the message will only be sent once
Down the right hand side of this page you can view all email messages you have sent from the Send Email announcement page in the past six months.

To help ensure delivery we also recommend adding donotreply@goalline.ca to your email safe senders list.

ADDING ATTACHMENT TO EMAIL

To add an attachment to an email you first need to add the document to your site:

Files uploaded here may be linked to news articles, events, webpages and more.

There is a 8MB file size limit on any files being uploaded to the system.

How to upload a file:

1.     Select you are uploading a file.
2.     Create a title for your file.  This will be used to identify it in your list.
3.     Click “choose file” to browse your computer and upload the file you are looking for.
4.     Select a category for your file/image.  Categories can assist in organizing your files so you can easily find them.  To add or delete a category click “Edit Categories”.
5.     Click “Upload” to upload your file.

From the right hand side of this page, you can edit and delete your existing files.

Once this is completed you can now within Send Email Announcement create a document link:
 
  1. Type in the description box the text you would like them to click on and then highlight it.
  2. Click on the chain link icon "Link".
  3. Under "Link Type" choose "Link to file uploaded to GOALLINE".
  4. Under File Name to Link choose the file you uploaded above.
  5. Click Ok.

 
SUBSCRIBING TO A CALENDAR
 
  1. Select your team from the team menus.
  2. Choose the Schedule link from the left hand menu.
  3. Click the "Subscribe to Season Schedule" button.
  4. Right click on the provided link and select "Copy Link" or "Copy Shortcut".
  5. Paste this link into your calendar program.

ADDING PRACTICES

To add-edit or delete practices for all teams on the site you would complete this by:

1. From the Master Menu or Team/League Menu select Scheduling.
2. Select Add-Edit-Delete Practices
3. Select the Venue
4. Select the Practice Type:
 
  • Full - Used when only one team will be practicing on the venue
  • Half - Used when two teams will be practicing on the venue
  • Shared - Used when two or more teams will be practicing on the same venue
  • Off - Used when creating a dry-land or classroom practice.
5. Select the team(s) based on the practice type selection.
6. Select the Practice Date, Practice Start Time and Practice End Time.
7. Enter Practice Details. (IE Bring your blue socks)
8. Select whether you "Would you like to display the practice details on the schedule?"  If you select yes, this will appear on the public side of the calendar. No is for internal note.
9. Check the box for "Is this a recurring practice?" and then set up the recurring practice options.
10.  Select Enter Practice.

During the creation of the practice you can choose to email certain people about the practice and if you have the text messaging module enabled, can also send as a text message.

You can also choose to upload your schedule.

SCHEDULE UPLOAD
 
Creating the Schedule File
 
The best place to start when creating a schedule file is to download the schedule template.   This can be found by logging in to your site and choosing "Upload Schedule File" under Scheduling in the Master Menu or in the League/Team menu. When you are on the Schedule Upload page there are three templates at the bottom of the page you can choose to download. Each template has a different date format.
 
Once you download the file you can begin adding information within Excel. Please see the explanation for each column:
 
Home Team (Mandatory) - This is where you add the home team.
Visitor Team (Mandatory for games) - This is where you add the visitors team. You leave this blank for practices.
Start Date (YYYY-MM-DD) or (MM/DD/YYYY) or (DD/MM/YYYY) (Mandatory) - This is the date of your game/practice and the format the dates should be in.
Start Time (HH:MM AA) (Mandatory) - This is the scheduled start time of the game. Please enter in either am/pm (8:00 pm) or military time (16:00).
Duration (minutes) (Mandatory) - This is how many minutes the game will be played. Only a number is needed. For example an hour would be 60.
Details - The information added here will appear in the game/practice details.
Show Details (Y/N) - If you would like the game/practice details to appear add a Y to the cells in this column.
League Name (Mandatory in uploading from the Master Menu) - Enter the league for the teams you are uploading these games/practices in to.
Practice Type (Shared or Full) - You can add Shared, Half or Full. Full is a one team practice. Half is a practice for only two teams. Shared is a multiple team practice. This is for practices only
Schedule Name (Mandatory) - Enter the name of the schedule you are adding the games in to. For example: Regular Season, Exhibition or Practice.
Venue (Mandatory) - Enter the name of the venue for the game/practice.
 
Once you add the information to your file you will want to make sure your dates all have the same format. 
 
  1. Click on the letter of the column you have the date in (in the template it is C).
  2. Right click and choose "Format Cells".
  3. Choose Date and for the Locale (location) choose English (Canada) from the dropdown. Choose the YYYY-MM-DD option (Recommended). If you choose to use another date format you will need to select another option.
  4. Click OK.
Once this is complete choose "Save As" and save the file as a .csv file CSV (Comma Delimited) for Windows computers or CSV (Windows) for MAC computers.
 
Uploading the Schedule File
 
  • In the Master Menu or Team/League Menu choose "Upload Schedule File" under Scheduling.
  • Browse your computer for the file by choosing "Choose File".
  • Choose the file then click Open and choose Upload.
  • Match the headers of your columns to the appropriate options. If they are the exact names they will automatically match. If you don't want to use a column choose "Disregard".
  • Choose No for Import the first (highlighted) row? if you have your headers entered. If you do not have headers choose Yes. Choose continue.
  • Look through the list of games/practices. If there is red rows or you see a date that is not correct you will need to update your file. Special characters or incorrect date format are the most common upload issue.  If everything looks OK choose Continue.
  • You will be taken through a series of matching information. If the information in your file matches the information in GOALLLINE they will automatically match. If the information does not match you will need to choose the information from a dropdown.
  • You will need to match the following:
  • Leagues
  • Teams
  • Schedules
  • Venues
  • Practice Types (only if uploading practices)
  • Once you match the information choose "Continue" and then confirm your match by hitting continue on the next page. Once the match is complete hit continue.
  • Once the matching process is complete the GOALLINE system will let you know what was uploaded or what was not uploaded. If there was duplicates or conflicts the GOALLINE system will advise you of this so you can update your games/practices.
